Munarish SmartAssess

Privacy Policy

Effective date: [to be set at launch] · Version: 1.1 (draft for legal review)

This policy explains what personal data Munarish SmartAssess ("the app", "we", "us") collects, why, who it is shared with, how long it is kept, and the rights you have. We have tried to write it in plain language. If anything is unclear, contact our Grievance Officer (section 11).

The app is provided by Munarish Academy, 5/446, 4th Street, Kumaran Nagar, Mannivakkam Extension, Vandalur, Chennai 600048, Tamil Nadu, India (GSTIN 33FMKPB4755A1ZF) ("Munarish"). For the purposes of India's Digital Personal Data Protection Act, 2023, we are the Data Fiduciary for the personal data described here.

1. Who the app is for

The app is for anyone who wants to practise and check their learning: school students, college and university students, people preparing for competitive or professional exams, and self-learners.

Accounts are for adults aged 18 or over: parents, guardians, teachers, tutors, and adult learners such as college students. Anyone under 18, at school or college, uses the app through a learner profile that is created and managed by their parent, guardian or teacher. We do not let anyone under 18 open an account of their own.

2. What we collect

About you (the account holder)

  • Your name, and the email address and/or mobile number you sign in with. If you sign in with Google, we receive your name, email address and a Google account identifier.
  • Your confirmations: that you are 18 or over, that you accept our terms, and, for each learner under 18, that you are their parent or guardian or are authorised by them.

About each learner you add (or about you, if you study for yourself)

  • A display name (a nickname is fine), the kind of learning (school, college, competitive exam or general), the board, university or exam, the class, semester or target year, and optionally the name of the school or college.
  • We do not ask for a learner's date of birth, photo, contact details or address.

What you put into the app

  • Study material you upload (syllabus, notes, books, past papers) and the text we read from it.
  • Question papers, answer keys and results created in the app.
  • Photos of handwritten answer sheets, the text we read from them, and the marks and feedback given.
  • How you organise things: folder names, tags, and the marking rules and paper templates you create.
  • Progress information worked out from those marks: scores over time, and a mastery level for each topic.
  • The AI level you choose for each paper and each marking, and how many papers you have used and bought.

When you buy something

  • Purchase records from Google Play, or from our payment provider if you buy on the web (what you bought, when, order number, status). We never see or store your card, UPI or bank details. The payment provider handles payment.

Technical information

  • A device identifier created by the app, the app version, the device model and operating system, a notification token, and a security signal from Google that helps us prevent misuse of free trials.
  • Crash and error reports, with your content removed.

3. What we do not do

  • We do not show advertising and do not use advertising identifiers.
  • We do not sell your data or share it for others' marketing.
  • We do not track anyone's activity across other apps or websites, monitor behaviour, or build profiles for advertising. The progress information described above is made only to show you and the learner how they are doing.
  • We never show your or your learner's results to other users, and we never compare learners with each other.
  • We do not use your material, answers or results to train AI models, and we do not allow our service providers to do so.

4. Why we use your data

We rely on your consent for these purposes. Where the law allows, we also process data for certain legitimate uses, such as complying with the law. You can withdraw consent at any time (section 9). If you do, we may no longer be able to provide the app to you.

5. How AI is used

The app uses artificial intelligence to read documents and handwriting, to write questions, and to suggest marks. We use a single, well-known AI service provider for this, through our own business account. You choose the level (Standard, Advanced or Expert). To do this, the relevant content (for example a chapter of your notes, a question, or a photo of an answer) is sent to AI service providers that process it on our behalf. We do not send your name, email address or phone number with this content, and we do not send learners' names. These providers are not allowed to use your content to train their models.

AI can make mistakes. Marks and feedback are suggestions to help learning. Please see our AI and Marking Disclaimer.

5B. If you use SmartAssess through your school, academy or college

If your organisation (for example a school or academy) gives you access to SmartAssess, including inside its own website or portal, your organisation decides how your data is used, and we process it on its behalf. Your organisation's privacy notice applies, and your organisation is the right first contact for requests about your data. We will pass on any request we receive to your organisation and help it respond.

In that case:

  • Your organisation chooses who can see what. Typically, teachers see their students' work, parents see their own children's results, and administrators see everything in the organisation.
  • Results are released after a teacher has checked and approved them.
  • Your organisation decides how long your data is kept, within our limits.
  • Your data in your organisation is kept separate from any personal SmartAssess account you may also have.
  • Work set by your organisation is kept on our server, not only on your device, so that your teacher can review it from anywhere: the papers set for you, photos of your answer sheets, the text read from them, marks, feedback and your teacher's notes. Photos are deleted **90 days after the marks are released**; the rest stays with your organisation's record of your work until it, or you through it, asks us to delete it. Pupils of MUNARISH Academy: see also SmartAssess at MUNARISH Academy.

6. Who we share data with

  • Service providers who help us run the app: hosting and storage, AI processing, sign-in, notifications, messaging (for one-time codes and emails), error reporting, and Google Play for payments. They may use the data only to provide their service to us, under contract.
  • Within your organisation: if you use SmartAssess through a school or academy, its administrators, your teachers and your linked parents can see your papers and released results (section 5B).
  • Authorities, when the law requires it, for example under a valid legal order.
  • A buyer or successor if our business is transferred. Your data would remain protected by this policy.

7. Where your data is stored

On your phone. In the mobile app, your study material, question papers, answer-sheet photos, marks and progress are stored on your own phone, not on our servers. If you turn on backup, a protected copy is saved in your own Google Drive, in a private app folder that only this app can read.

On your computer. The desktop app saves your study material, papers, answer sheets and corrected papers as ordinary files in a folder you choose on your computer (for example your Documents folder). You can open, copy and back them up like any other files, and we never receive them. If you put that folder in a cloud-synced location such as OneDrive or Google Drive, that service's terms apply. To keep your phone and computer in step, the app can sync them through your own Google Drive, encrypted. It does not go through our servers.

Reading and searching on your device. To read your material and to search it by meaning, the app downloads program libraries and small language models from public servers (jsDelivr and Hugging Face) the first time they are needed, and keeps them. Only the request for those files reaches those servers (with your device's internet address, as any download does); your material never does.

On our servers we keep only what we need to run your account: your sign-in details, your consents, your purchases and trial use, and how much AI you have used (not what was in it).

The shared bank. Questions and answer keys the AI writes for your papers are also kept on our servers, without your name, your answers or anything else about you, and may be given to other learners studying the same book, syllabus topic or printed question paper, instead of being written again (which makes those papers cheaper). What is kept is the question, its answer key, marking points and explanation, the short quotes it was checked against, its page numbers, and a code identifying the book or paper (made from the file, not its contents). Your study material itself is never kept or shared. To make sure you are never given the same question twice, we keep a one-way code made from your account and learner profile next to the shared questions you were given. Questions made for an organisation are never shared.

When the app uses AI, the text or images needed for that one task are sent through our service to the AI provider and the result is returned. We do not keep a copy. If you choose the cheaper hourly batch option, the request and its result wait on our service, encrypted, until the batch is processed and your device collects the result. They are then deleted, and never kept longer than 7 days. AI providers may process data outside India. We use providers that protect it with appropriate safeguards and that do not use it to train their models, and we follow any restrictions the Government of India places on transfers.

Keep a backup. Your files are on your own devices. On a computer, the library folder itself is your backup: copy it somewhere safe. On a phone, turn on backup or export your library, because uninstalling the app or losing the phone will otherwise lose your files.
